How to Maintain Dassian Flexible Rates

Dassian Flexible Rates: Rate Key Maintenance

 

This tile opens to a transaction that supports maintenance for the flexible rates. One use case is for multi-year projects, when you want to maintain the original labor and overhead rates for performance measurement, despite subsequent rate changes.  Or you may need to re-rate your project based on subsequent rate changes, for reporting purposes.  In either case, you can use this functionality to set up your own rate deck, by copying the existing rates in your SAP system, then modifying them.

Flexible labor rates allow the labor rate per hour to differ from the standard cost center/activity type rates maintained in SAP.  The standard activity type rates are copied (from the version 0 rate) and can then be edited. 

Overhead rates allow the amount or percentage of overhead applied to differ from the standard quantity or percentage maintained for the costing sheet/overhead key. Overhead rates copy from the condition type.  Condition types are assigned to costing sheets, and control the amount of overhead applied, based on a percentage or quantity.

Note that if the message  (or  ) displays when using any of the maintenance options, it means the records matching your selection criteria have not been maintained in the standard SAP transaction (e.g., there is no activity type rate for the combination of cost center, activity type and fiscal year you specified).  In this case you must first maintain the relevant standard rates before maintaining the corresponding flexible rates.

Flexible rate keys are separated into labor and overhead keys. Each rate key can have one or many labor or overhead records associated with it. The rate key is numeric.

Note that you cannot use the flexible labor rate functionality to create a new activity type rate record. Likewise, for overhead rates, you cannot use the flexible overhead rate functionality to change the structure of the costing sheet.  You can only copy current SAP standard rates, or change existing Dassian flexible rates.

You can choose from the following functions:

Add Labor Rate Key Data

This option creates a new labor rate key and copies a subset of the standard labor rate records into it, based on the input selection criteria.  You can also select a subset of records using an asterisk (*) as a wildcard to select multiple cost centers and/or activity types.  If no cost center/activity type is specified, all records will be selected. 

Note that this option will delete any existing records in the labor rate key that match the selection criteria and replace them with the selected records. If you want to add new cost center/activity type rate records to a labor rate key without changing the existing records associated with it, use option Delta Rate Key Data instead.

1. Use the selection list in the Labor Rate Key field to display the existing rate keys.

2. Cancel and enter a new numeric rate key in the Labor Rate Key field.

3. Input any valid combination of labor rate key, cost center, activity type, and fiscal year on the selection screen.  If no selection criteria are entered, all rate records will be selected. You can also use an asterisk (*) as a wildcard to add multiple records to your labor rate key.

4. Click

5. You will see the status message  in the status bar.

Labor Rates

Use this option to manually update the cost center/activity type rates associated with a specified labor rate key. 

1. Input any valid combination of rate key, cost center, activity type, and fiscal year on the selection screen.  If no selection criteria are entered, all rate records will be selected. You can also use an asterisk (*) as a wildcard to select multiple records for update.

You can use the Labor Rates option to export labor rates to Excel if desired, by clicking the Export icon in the toolbar and selecting Spreadsheet:

Delta Rate Key Data

This option finds new cost center/activity type combinations and adds them to the existing records for the specified labor rate key.  Use this option to add new cost center/activity type rate records to a labor rate key without changing the existing records associated with it.

1. Input any valid combination of rate key, cost center, activity type, and fiscal year on the selection screen.  If no selection criteria are entered, all rate records will be selected. You can also use an asterisk (*) as a wildcard to select multiple records for update.

3. You will see a status message like in the status bar.

Add Overhead Rate Key Data

This option creates a new overhead rate key and copies a subset of the standard condition type records into it, based on the input selection criteria.  You can also select a subset of records using an asterisk (*) as a wildcard to select multiple records.  If no condition type/date range is specified, all records will be selected. 

Note that this option will delete any existing records in the overhead rate key that match the selection criteria and replace them with the selected records.  If you want to add new condition type records to an overhead rate key without changing the existing records associated with it, use option Delta Overhead Rate Key instead.

1. Use the selection list in the Overhead Rate Key field to display the existing rate keys, as shown above under Add Labor Rate Key Data.

2. Cancel and enter a new numeric rate key in the Overhead Rate Key field.

3. Input any valid combination of validity date, condition type, variable key, unit, UOM, and condition record on the selection screen.  If no selection criteria are entered, all overhead rate records will be selected. You can also use an asterisk (*) as a wildcard to add multiple records to your overhead rate key.

Overhead Rates

Use this option to manually update the overhead rates associated with a specified overhead rate Key.

1. Input any valid combination of validity date, condition type, variable key, unit, UOM, and condition record. If no selection criteria are entered, all overhead rate records will be selected. You can also use an asterisk (*) as a wildcard to select multiple records for update.

You can use the Overhead Rates option to export overhead rates to Excel if desired, by following the same steps shown under the Labor Rates option above.

Delta Overhead Rate Key

This option finds new overhead record combinations and adds them to the existing records for the specified overhead rate key. Use this option to add new overhead rates to an overhead rate key without changing the existing records associated with it.

1. Input any valid combination of rate key, cost center, activity type, and fiscal year on the selection screen.  If no selection criteria are entered, all rate records will be selected. You can also use an asterisk (*) as a wildcard to select multiple records for update.

Note that if you do not enter a value in the Condition Type field, you will be asked to confirm your selection before proceeding:

Rate Key

This option allows you to maintain the description for a rate key.

1. Enter a numeric rate key

If needed, you can simply use the selection list in the Rate Key field to display the existing rate key numbers.

Delete Rate Key

Use this option to delete selected data for the specified rate key.

1. Enter any valid combination of selection criteria.  If no selection criteria are entered, all rate records will be selected. You can also use an asterisk (*) as a wildcard to select multiple records for update.

The flexible rate data corresponding to your selection will be deleted.

 

Delete All Rate Key Data

Use this option to delete the specified rate key and all associated data.

1. Enter any valid rate key.

All flexible rate data corresponding to your selection will be deleted.
