How to Create an Alternative Hierarchy

Goal

After completing this how-to you will have learnt how to create an Alternative Hierarchy for a project in the Dassian Simple Projects Application. This example will show how to setup an alternative hierarchy for the purposes of approving a budget plan or a forecast plan.

First Step

Begin by clicking the Alternative Hierarchy tile in the Organisation Dashboard as shown below;

Second Step

  1. Enter the Portfolio
  2. Enter a name for the Alternative Hierarchy
  3. Click Go!

Third Step

A prompt will be displayed to choose the level for the Alternative Hierarchy type,  for an approval hierarchy, choose "Control Account"

 

Fourth Step

The Alternative Hierarchies work area has 2 parts, on the left the area where the Alternative Hierarchy is built, on the right all the elements from the projects within the portfolio are shown.

This example How-To describes how to build an approval hierarchy, there are 2 columns in the left hand side of the work area labeled BL Approve and EAC Approve at the top level of the hierarchy, it is possible to flag the hierarchy as either the hierarchy which will be used for Baseline Approval, EAC approval or both.

Fifth Step

Since this Alternative Hierarchy is an Approval Hierarchy, the Project Manager with overall responsibility for planning and control will be defined at level one of the hierarchy as follows;

  1. Right Click the level 1 node of the hierarchy
  2. Choose Update from the menu
  3. Define who the Project Manager 
  4. The popup will expand to allow for an alternative Manager to be assigned, this is effectively a substitute account manager who can also approve planning data
  5. Click continue

 

Sixth Step

Begin building the Alternative Hierarchy as follows;

  1. Right Click the level 1 node of the hierarchy
  2. Choose Insert from the menu

    In the resulting popup
  3. Enter a name/code for the hierarchy node
  4. Enter a description for the hierarchy node
  5. Define who the account manager is for the node (In this instance this is the project manager responsible for approving the planning data of any Control accounts which will be assign to this node)
  6. The popup will expand to allow for an alternative Manager to be assigned, this is effectively a substitute account manager who can also approve planning data
  7. Click continue

Seventh Step

Assign the elements of the portfolio to the Alternative Hierarchy nodes by dragging them from the right hand side of the screen to the left and dropping on the appropriate node.

Elements which are assigned will appear in their respective nodes and will be highlighted green in the element list on the right. Elements which are not assigned will not be highlighted.

 Click Save!
